Keep one organized file for the contract, proforma invoices, commercial invoices, confirmed bank details, account-change notices, transfer receipts, relevant emails or chat records, and milestone evidence. For each transfer, record the amount, currency, beneficiary, date, approving person and reason for release. Maintain one payment trail so the transaction can be reviewed without reconstructing it from separate inboxes.
If you suspect that money was sent to the wrong or fraudulent account, contact the sending bank immediately and ask whether the transfer can be stopped, recalled or traced. Then notify the supplier through a trusted channel, preserve all messages and note the timeline of events. Fast action may improve the available response options, but recovery is not guaranteed. Follow bank instructions and obtain professional legal or financial advice when the exposure is significant.
